Camping allocation process

As long as there has been Relay, we have been camping and spending the night under the stars. The grassy center of the track has seen more and more campsites each year as this event has gotten bigger and bigger. This year we will cover almost every inch of grass available. With our returning teams getting bigger, and so many new teams, we've had to think outside the track.

As in previous years, we will be camping inside the track. There are currently 186 sites. Teams returning for another year are given the opportunity to keep the site(s) they had last year. After this, any new team or teams requiring additional sites are given the opportunity to register their interest in any remaining vacant sites.

We've noticed that some campsites are only being used during the day and then they're left empty over night. With so many teams needing a site to camp on overnight, it's only fair to share the sites. This means that day campers will need a space to put their gear and to stay during the day. This year we will be adding a Cloakroom to keep your bags safe while you stay in the shaded areas, freeing up any campsites that you don't need over night. The cloakroom will be open from 9am until 4pm. Please make sure that anything you leave at the Cloakroom tent is picked up by 4pm as it will be unmanned after that time.

Re-claiming Last Years Site

Teams returning after last years Relay will have the first opportunity to re-claim their site. This can be done by sending an email to Matt Blume at camping@shirerelay.com. Include in your email, your team name this year, the team name from last year and a contact for your team captain, this is only for teams who were at last years relay.
New Teams

A signup sheet will be available at the Team Briefing/Information Nights. Teams on the list from the first Information Night will be allocated sites first, then teams that registered later will have their chance. After the first information night new teams can send an email to camping@shirerelay.com to request a site, if you do send an email make sure you include your team name, how many people will be staying over night, and a contact and phone number.

The names received at the first Information Night will be allocated on the first allocation list, names received by email between the first and second Info Nights will go onto the second allocation list and any names received at the second Info Night will be allocated on the third list.

In the event that there will be too many teams for the inside of the track, the available sites will be balloted to teams that have put their names down on lists at the Information Nights. One site only will be given to each team, any extra sites needed will either come from the Fight Back Expo Marquee or the Overflow Sites.

Fight Back Expo Marquee

Following the success last year, there will be spaces available again in the Fight Back Expo Marquee. There were still spaces available last year and we find more room in there if we need it. From about 5pm on Saturday we will be opening the Expo tent up as a communal dorm.

Overflow Sites

In prior years we have been able to allocate remaining spaces in the middle of the track on the Saturday morning. This does not look to be the case this year, we will do what we can to find a place for people who haven't booked but there is only so much space available.

Campsite Rules - for the benefit of everyone and the ongoing success of our Relay

1. For trackside campsites the measurements are 5m x 5m, all others are 5m wide x 6m deep. Most 8-10 person tents fit well within those spaces

2. Only 1 trackside site will be allocated to any team

3. No one is to set up their tents on the Friday night before the event without explicit approval from the Campsite Co-ordinator. Those assisting with the event bump-in during the day on Friday will be the first allowed to set up. Anyone not assisting will be able to put up their tents from 6pm on Friday night or once all other setup has been completed and the venue opened by the OH&S Coordinator, whichever occurs later. Please understand that safety must be our first priority.

4. Teams setting up their tents in sites not allocated to them will be asked to relocate to their assigned campsite. Please, if in doubt, ask us and confirm your campsite on the map. No one wants to have to pull down their tent due to confusion.

5. Be aware of exit rows and emergency escapes. If used, keep gas heaters well clear of any other equipment and never leave them unattended. No open flames of any kind. Flames and 200 nylon tents in close proximity don't mix.

6. For the sake of every participant, the protection of the track surface and our ongoing approval to use the venue, GLASS IS NOT PERMITTED. Please bring only plastic drinkware for your campsite and the Relay Banquet.

7. There is no electric power available on the inside of the track. No team is to install cabling from the outside to the inside of the track, by any means. If your team has plans requiring the use of power, we are more than happy to discuss your ideas before Thursday 28 April. Please contact Matt Blume at camping@shirerelay.com
